Frequently Asked Questions
What is a Disclosure and Barring Service (DBS) check?
The Disclosure and Barring Service is an executive non-departmental public body, sponsored by the Home Office and accesses the Children and Vulnerable Adults barred lists and national and local police information.
A DBS check is carried out by the DBS on behalf of an organisation, with the applicant’s permission (obtained as part of the application process), and is usually carried out as part of the recruitment and vetting procedure.
The results of the DBS are given on a certificate called a disclosure which is sent to the applicant who must then show the original to the organisation that requested it.
An Umbrella Body (UB) must ensure that a completed application is correct and information is confirmed by comparing original documents such as a passport or driving licence. Guidance is given on suitable documents.
The UB and organisation are legally bound to securely hold information and not reveal details obtained during the process or from the DBS disclosure. All information gathered and the disclosure must be destroyed within 6 months of issue.
How long is a DBS check valid?
There is no official expiry date; however, information included is accurate only at the time of issue. Employers decide when a new check is needed.
What is the difference between the various types of check?
Standard
This checks for spent and unspent convictions, cautions, reprimands and final warnings.
Enhanced
As above, plus any additional relevant information held by the police.
Enhanced with list checks
As the enhanced check, but also includes checking the relevant DBS barred lists.
What is a barred list?
Jobs involving certain activities with children and vulnerable adults may require an enhanced DBS check with barred lists.
This checks whether someone is included in the lists of individuals unsuitable for working with children or vulnerable adults.
People on barred lists cannot undertake certain types of work. Specific rules apply for working with children (regulated activity), different from rules for regulated activities with adults.
It is illegal to employ or allow volunteers for this type of work if they are on a barred list.
What happens after the form has been submitted?
Application progress can be checked online or via the DBS tracking service.
Once completed, the DBS sends the disclosure certificate to the applicant, who must then show it to the employer.
Lost certificates
The DBS can provide replacements for lost or destroyed certificates only within 3 months of the original issue date.
